In Ploomes, you can share any Quote, Order, or Document with the customer through different channels: PDF, Email (when enabled), Web Link, WhatsApp (when enabled), and electronic signature tools (such as Clicksign, D4Sign, DocuSign, and LetsSign, when activated).
This article explains how to access the sharing menu and how to use each of the available options.
⚠️ Important: For a user to be able to share a Quote, Order, or Document, they must have the profile permission to perform the sharing action.
How to access the sharing menu?
Open the Quote, Order, or Document you want to send to the customer;
In the upper right corner, click Share;
A window will be displayed with the available options:
PDF;
Web Link;
WhatsApp (if integration is enabled);
Email (if integration is enabled);
Electronic signature tools (if integration is enabled).
Option: PDF
Use this option when you want to download the file as a PDF to send manually or store it.
Click PDF;
Select Download as PDF;
The file will be downloaded to your computer.
This option is useful for attaching the Quote to another system or sending it through channels external to Ploomes.
Option: Email (when enabled)
The email sending option appears only if the SMTP integration is active.
When you click Email, the sending editor will open.
In the editor you can:
Define recipients (To, Cc, Bcc);
By default, the Deal contact is suggested (when available);
Enter the Subject;
Select an Email template;
Customize the message content;
Save draft;
Send the message.
Ploomes automatically inserts:
The view link in the email body;
The PDF of the Quote/Order/Document as an attachment.
Option: Web Link
The Web Link generates a page where the customer can:
View the content;
Comment;
Accept or decline.
Click Web Link;
Check or edit the recipients (by default, the Deal contact is pre-selected);
Click Share with recipients.
Ploomes will automatically send an email containing the generated link.
Option: WhatsApp (when enabled)
The WhatsApp option appears only when the integration is enabled.
This option generates a view link and opens WhatsApp Web with the message ready to send.
Click WhatsApp in the sharing window;
Define the contact (by default, the customer or Deal contact is suggested);
Define the phone number in the correct format (area code + country code);
Customize the message, if desired;
Default: "See the Quote through the link: [generated link]"
Click Send.
Ploomes will open WhatsApp Web in a new tab for you to send the message to the customer.
Electronic signature tools (when enabled)
If your account has active electronic signature integrations, one or more of the following options will appear in the menu:
Clicksign;
DocuSign;
D4Sign;
LetsSign.
These options are located in the same sharing menu. The steps vary according to each integration.
