Business rules define how a company operates and reflect its internal policies, processes, and operational guidelines.
Ploomes allows you to internalize these business rules — that is, to incorporate them directly into the platform. This way, you can ensure that sales processes are executed in accordance with the rules and standards defined by the company.
How to do it?
Go to Administration > Approval Flows;
Select the desired entity (Quote, Order, or Document);
Click New approval flow.
On the screen that opens, you can define the flow name, the filters, and what happens in each case. The Result options are:
Block – prevents the quote from being created if the rule is broken;
Approval – triggers an approval flow for a specific group of people when the rule is broken. Those involved will be able to approve or reject the quote, and can also add comments about the decision;
Alert – the salesperson will be notified that something is outside the standards, but the quote can be generated normally.
First example:
As a first example, let's create a rule where, when the quote product is "Bed", discounts greater than 10% will not be allowed.
Select the Quote entity and click New approval flow;
Define the approval flow title;
As filters, add:
Quote products > Product > Equal to > Bed;
Quote products > Discount > Greater than > 10;
Add a warning message, if desired;
Select the Block option.
When a quote is generated with these conditions, a block warning will be displayed, preventing the quote from being created or edited.
Second example:
As a second example, when the quote discount is greater than 15% and the customer is from the state of Rio de Janeiro, an approval flow will be triggered for the user "Suporte Ploomes".
Select the Quote entity and click New approval flow;
Define the approval flow title;
As filters, add:
Discount > Greater than > 15;
Customer > State > Equal to > Rio de Janeiro;
Add a warning message, if desired;
Search for the user and click Add.
When the quote is sent for approval, the users involved will be notified. By clicking on the alert, the user will be directed to the quote page, where they can Approve or Reject the request, and also add a comment visible to all parties involved in the approval flow.
