How to Create an Automation to Register an Interaction When a Proposal Is Accepted by the Customer?

This article explains how to configure an automation in the Proposals entity to automatically register an interaction when the customer accepts a proposal through the sharing link.

Registering when a proposal is accepted by the customer is essential to ensure agile and effective follow-up throughout the sales process. With Ploomes automations, you can automate the creation of interactions at this moment, ensuring that the team is notified immediately after the approval.

Configuration

1. Create a New Automation

  • Go to Administration > Automations

  • Select the Proposal entity

  • Click New Automation

2. Configure the Description, Trigger, and Filters

  • In the Automation Description field, enter a name that identifies the action.
    Example: Create an interaction when a proposal is accepted

  • Under When should the automation be triggered?, select:

    When the proposal is approved or rejected (online)

  • Next, click the + icon to add a filter. At this stage, configure the following criteria:

    1st Filter

    Deal > Pipeline equals [Pipeline Name] (optional filter)

    (The naming may vary depending on the account — “Deal”, “Workflow”, etc.)

    2nd Filter

    Accepted externally equals Yes (required)

3. Define the Action

  • Under When triggered, what should the automation do?, select:

    Create interaction record

  • Next, configure the fields for the interaction record that will be created:

    • Interaction Type: select the interaction type you want (e.g., Phone Call)

    • Date: In this case, 'Days after automation = 0' will be used so that the record date is populated with the current date.

    • Description: Enter a descriptive text

      Example: The customer accepted the proposal, make contact!

    • Click Save.
