Use case: Mass reassignment of owner

Learn how to change the owner of multiple records at the same time.

In situations such as a sales representative leaving the company, it may be necessary to transfer all customers under their responsibility to another user.

This process can be done quickly and easily using the bulk edit feature, allowing you to update multiple records at once.

⚠️ Warning: Bulk editing is irreversible. Before confirming the change, carefully verify that the displayed data exactly matches the records you want to modify.

How to do it?

Create a tab with the current owner’s clients

In the Customers module, create a New tab to gather all customers belonging to the user whose ownership will be changed:

  • Click New tab;

  • Define a name for the tab and choose who will be able to view it;

  • Add the filter condition:

    • Owner > Equals to > [current user];

  • Click Create tab.

If the user is already inactive, use the following filter condition instead:

  • Owner > Name > Equals to > [name exactly as registered for the inactive user].

Review the listed records

After creating the tab, carefully review the list to ensure that all displayed customers belong to the owner whose records will be changed:

  • Click the gear icon next to the columns and add the Owner column;

  • Check the number of items displayed in the tab;

  • Verify that the Owner column exactly matches the user whose records will be updated.

Perform the bulk edit

Once you are certain the tab is configured correctly, click the gear icon next to the tab name:

  • Click Bulk edit;

  • Choose the Owner field;

  • Select the Replace with operation;

  • Define and add the new owner;

  • Click Confirm changes.

What happens next?

After the change is completed, the tab will appear empty. This happens because the filter is still configured with the previous owner. To view the customers again, simply edit the filter and replace it with the new owner.
