How to Automatically Create Tasks for Stalled Deals?

This article explains how to automatically generate tasks for deals that remain inactive for a specified number of days in a particular pipeline stage.

Keep your deals active and improve conversion rates by always defining a next step. To prevent opportunities from being overlooked in day-to-day operations, use Ploomes Automations to ensure that every deal has a scheduled activity.

Prerequisite

To create this automation, the feature must be enabled in your account.

To verify this, go to Administration and locate the Automations button, as shown below.

Configuration

1. Access Automations

  • Go to Administration > Automations.

  • Select the Deal entity (the name may vary depending on your account configuration).

  • Click New Automation.

2. Define the Automation and Configure the Filter

  • In the window that appears, enter a name for the automation in the Description field.

  • Next, configure the filter that will determine when the automation should be executed.

In this example, the automation will apply to deals that:

  • Are in Stage 3

  • Have remained in that stage for 3 days

  • Do not have any scheduled tasks or activities

3. Define the Automation Trigger

  • Under Trigger, select Periodically.

  • Configure the automation to run once every day.

4. Define the Automation Action

Under What should the automation do when triggered?, select Create Task.

Fill in the fields according to your needs:

  • Title

  • Description

  • Due Date

  • Users

  • Any other applicable fields

Then, save the automation.

4.1 Completion Tips

  • Users:
    Use the workflow's Responsible User field to ensure that the task is assigned to the correct deal owner.

  • Due Date:
    Change the input type to Days After Automation and define the desired deadline.

    • 0 = today

    • 1 = tomorrow

Example: To set the task due date to 2 days after the automation runs, enter the value 2.
